LOT Number and Production Batch Tracking

The company, which has been using our custom inventory management and invoicing modules for years, manufactures plastic bottles and other packaging materials primarily used in the pharmaceutical and food industries. Until now, product LOT numbers were recorded manually during packaging, but to track customer requirements and potential complaints, a more precise solution was needed that provides traceability from the raw materials and dyes used, through semi-finished product pre-production, to the final packaging of finished products.

Logical Concept

  • The previously used inventory management documentation forms the basis of unique identification. These break down processes into phases and physical warehouses: raw materials, semi-finished products, finished products.
  • Every production process starts with a document where the shift supervisor specifies the type and quantity of products or semi-finished products to be manufactured based on orders.

Technical Solutions

  • Workstations and workers receive unique identifiers with barcodes, which the person performing the recording enters into the system using an industrial barcode reader.
  • Product declarations containing LOT numbers are printed by a network thermal label printer.
  • Using a "LOT - control" form, based on the production number, you can immediately search for when and on which machine the given finished product was manufactured, who participated in production, which semi-finished products and/or raw materials were used, and which serial number dyes were included in the product.
  • Training the production manager and workers was simple because the processes are straightforward and logical.
  • Since the system integration, a carton label can be automatically printed on every packaged finished product, which includes the LOT number in EAN code format and human-readable display in addition to the declaration elements.
Automation

Automated Order Suggestions

A company distributing agricultural and construction products with more than five thousand permanent item numbers needed a module that creates order suggestions with complex logic based on their previous purchasing experience.

Data Source and Basic Logic

  • The data source comes from an MSSQL-based record system containing data from more than five years, from which sales statistics can be extracted.
  • The module's basic task is to predict required quantities for all products of a selected supplier up to a specified target date.

Criteria and Tasks

  • Taking into account the sales statistics of the previous three years, turnover must be considered on a monthly basis - due to seasonal consumer habits.
  • It must be estimated how long the current inventory will last if we consider the previous year's consumption data for the given months.
  • If the product has shown increasing sales trends in recent months, the predicted requirements should be increased by a percentage determined by the user.
  • Based on criteria, a daily average must be determined, which will form the basis of the suggestion, i.e., it will be one multiplier, and the other will be the number of days determined by the difference between the target date and the day when current inventories run out.
  • The order suggestion must take into account the product's logistical data. If the predicted quantity must be divisible by the manufacturer's transport packaging unit according to rounding rules. If the carton number approaches the full pallet quantity within a certain percentage, the software must round up so that the order is a full pallet.
  • The user must be provided with visibility of the difference between rounding and original quantities, because in some cases the applied logic is not relevant.
  • From the order suggestion, with user approval, a ready order form should be automatically created, which immediately appears as an email attachment and can be sent to the partner immediately.

The project was completed in one month. A beta version was also used at the company for another month, and based on their feedback, we made several fine adjustments. Since the module's completion, the company has saved a lot of time and work, and significant results have also been shown in inventory optimization.
